How we work · from training to production

How every engagement runs.

Training opens the door. After that, the work runs the same way every time. We Consult: diagnose one process, then map the opportunity. We Implement: build it, then run it. The tools change; the process doesn't.

Consult · 01 Discovery

Discovery: we find where the time and money leak.

Most AI projects fail because they're built on how leadership thinks the work runs, not how it actually runs. So before we build anything, we spend a short time watching how it really runs, and build the thing that pays off, not the thing that demos well.

Who

Which role performs the task? At what seniority level?

How long

How many minutes per occurrence? Per week total?

How often

Daily, weekly, per new lead, per invoice?

Which tools

What systems touch this workflow: CRM, inbox, spreadsheet, ERP?

Error rate

How often does it get re-done? What triggers a redo?

Downside risk

What's the worst outcome if the output is wrong: compliance, revenue, reputation?

This isn't a form we send you. It's a conversation. The leadership session covers the basics, and a paid diagnostic goes deeper across your team.

Consult · 02 Roadmap

The roadmap you walk away with.

The diagnostic produces a standalone deliverable: a prioritised roadmap your team can act on, whether or not you build with us. We map, score, and rank every process we look at.

Operational process maps

Every workflow diagrammed with inputs, outputs, handoff points, and failure modes. You see exactly how work moves through your team.

What to do first

Every process ranked on two simple questions: can we do it, and is it worth it? The top of the list goes first.

ROI projection

We show the math: hours saved, what that time costs you, how often it happens. Conservative and optimistic, every assumption named. No black-box numbers.

The roadmap is the paid output of the Consult stage, and it credits toward implementation when you build the highest-ranked workflows with us.

Implement · 03 Build

Build the highest-leverage module first.

We don't hand you a 9-month roadmap and disappear. The AI landscape shifts weekly: tooling that made sense in Q1 may be the wrong call by Q3. Building module by module keeps every build valuable from day one.

[ 01 ]
Highest leverage first

We identify the single workflow with the best ratio of effort-to-impact and build that first. You get a live, measurable result fast, before we expand.

[ 02 ]
Review before go-live

Before anything runs on your real data, you get a walkthrough. You see exactly what it does, how it handles edge cases, and what happens when something goes wrong.

[ 03 ]
Compound from proof

Each module is independently valuable but designed to connect. Once one workflow is running and measured, expanding to the next is a much faster build.

Implement · 04 Run

It's not live until people use it.

Technical deployment is the easy part. The hard part is adoption: making sure your team actually uses the tool and trusts its output. An automation no one checks has zero ROI.

Team adoption

We train the people who use the output. If the CRM automation fills fields, sales needs to trust them, and know what to do when something looks wrong.

Hosted & monitored by Vendian

Every automation runs on Vendian infrastructure. You don't manage servers, deployments, or uptime. We monitor runs, handle failures, and push updates. You see results in a dashboard.

Quarterly reviews

We compare actual ROI against the roadmap's projections. If a workflow underperforms, we find out why. If a new opportunity is obvious, we flag it.

Human accountability on high-risk tasks

For workflows where a wrong output has real consequences (compliance, legal, finance), the automation is a supporting tool, not the decision-maker. A named person is accountable for the final output.

Questions

Common questions about the engagement.

What happens in the diagnostic?

We take one real process and watch how it actually runs: who does it, how long it takes, where it breaks, and what a wrong output would cost. You get back a prioritised roadmap, scored by feasibility and impact, that you keep whether or not you build with us.

How long until something is live?

It depends on the process and the approvals needed. Simple workflows move in weeks; high-stakes operations need more review. We build the highest-leverage one first, so you get a measurable result fast before we expand.

What if we stop after the roadmap?

That's fine, you keep it. The diagnostic and roadmap are a standalone deliverable. If you do go ahead, the diagnostic credits toward the build.

Who runs it after it launches?

We do. Vendian hosts and monitors every module, handles failures and updates, reviews ROI quarterly, and keeps a named person accountable for high-risk output. You don't manage servers or babysit a dashboard.
